Privacy Policy

Vellonex is salon, spa and wellness management software provided by Quantum Quasar Infoworld LLP (“Q2 Infoworld”, “we”, “us”), Ahmedabad, Gujarat, India. This policy explains what personal data we collect through the Vellonex website and service, how we use it, and the choices you have.

01Who this policy covers

• Website visitors — people who browse vellonex.com, request a demo, contact us or enter a partner code.
• Customers — salon, spa and wellness businesses that subscribe to Vellonex, and their authorised staff users.
• End clients — the customers of those businesses whose details are stored in Vellonex (for example, when booking an appointment).

02Our role

For website visitors and customer account information, we decide how the data is used and are responsible for it. For end-client data that a business stores in Vellonex — client profiles, appointment history, service notes and similar records — the business decides how that data is used. We process it only on the business's behalf and instructions to provide the service. End clients should contact the business directly about their data; we will assist the business in responding.

03Information we collect

Information you give us

• Contact and business details submitted through demo, contact and checkout forms: name, business name, email, phone or WhatsApp number, city, business type, GSTIN and your message.
• Account details: owner and staff names, logins, roles, locations and business settings.
• Business data you enter into the service: services, prices, schedules, staff rosters and commissions, inventory, invoices and end-client records.

Information collected automatically

• Basic technical data such as browser type, device, pages viewed and approximate location derived from IP address.
• Browser storage: when you enter a partner code, the code is saved in your browser so prices remain visible on your next visit. You can clear it at any time using “Use another code” or your browser settings.

Information from others

• Authorised Vellonex partners may share your contact details with us when they introduce you to Vellonex or set up your account.

04How we use information

• To provide, operate, maintain and support the Vellonex service.
• To respond to demo requests and enquiries, and to show the correct partner pricing.
• To process subscriptions, billing, invoices and taxes.
• To send service messages such as account notices, security alerts and billing reminders.
• To improve the product, prevent misuse and keep the service secure.
• To send product updates or offers, where permitted — you can opt out at any time.

We do not sell personal data, and we do not use end-client data stored by a business for our own marketing.

05Who we share it with

• Authorised partners — the Vellonex partner linked to your partner code may receive your contact and subscription details so they can onboard and support you.
• Service providers — hosting, email, messaging (SMS / WhatsApp), form handling and analytics providers that help us run Vellonex, under confidentiality obligations.
• Payment gateways — payments are handled by our payment partner. We do not store full card or bank details.
• Legal reasons — where required by law, regulation or valid legal process, or to protect our rights and users.
• Business transfers — in a merger, acquisition or sale of assets, with this policy continuing to apply.

06Data storage and security

We use industry-standard safeguards, including encryption in transit, access controls and regular backups, to protect data. No method of transmission or storage is completely secure, but we work to protect your information and will notify affected customers of a personal data breach as required by law. Data may be processed on servers located in India or other countries where our service providers operate.

07How long we keep data

We keep customer and business data for as long as the subscription is active. After an account is closed, the business can export its data for 30 days, after which we delete or anonymise it, except where we must keep records (such as invoices) to meet legal, tax or accounting obligations. Website enquiries are kept for as long as needed to respond and follow up.

08Your rights

Subject to applicable law, including India's Digital Personal Data Protection Act, 2023, you may:

• Ask for a summary of the personal data we hold about you;
• Ask us to correct, complete, update or erase it;
• Withdraw consent you have given, without affecting earlier processing;
• Nominate another person to exercise your rights in the event of death or incapacity;
• Raise a grievance with us, and if unresolved, with the Data Protection Board of India.

To make a request, email hello@vellonex.com. End clients of a salon or spa should first contact that business.

09Children

Vellonex is a business tool and is not directed at children. Businesses that record details of clients under 18 are responsible for obtaining any consent required from a parent or guardian.

10Changes to this policy

We may update this policy from time to time. We will post the new version on this page with a new effective date, and notify customers of significant changes by email or in the app.
